Position Summary
The Events Specialist is responsible for the execution and follow-up of all InspireNOLA network-level events. The Events Specialist will coordinate all aspects of 40+ events throughout the year, including the annual fundraising gala, student rallies, staff celebrations, community events, and network-level professional development days. The Events Manager Specialist will be responsible for the full cycle of events management and will work in collaboration with internal and external teams and individuals to ensure the successful execution of all events. The Events Specialist will report to the Strategic Projects Manager.

A record of professional success in the communications field with experience in digital and print media  
Ability to prioritize in the face of multiple competing demands
Excellent organizational skills and systems

Highly professional when working with a variety of stakeholders
Superb attention to detail and strong decision-making skills 
Strong presentation skills 
Experience working with and knowledge of high-performing charter schools, preferred 
A Bachelor’s degree in Communications, Public Relations, or related field is required, master’s degree preferred
5 or more years of experience in public relations, marketing, or communications 

Essential Job Duties & Responsibilities
Event Scheduling and Calendaring

o Assists with the development and management of InspireNOLA’s annual event calendar 
o Schedules recurring annual events early to avoid schedule conflicts both internally and externally
o Schedules new and unexpected events 
o Vets proposed events from external partners and makes recommendations to Strategy Team Leadership
o Prepares monthly reports of key events and activities to distribute to the Strategy Team Leadership

Event Planning and Promotion

o Produce detailed proposals for events (e.g. timelines, venues, vendors, staffing, budgets, etc.)
o Create procedures for all major event processes 
o Coordinate from beginning to end event logistics, including but not limited to:

Facilities and venues
Speakers, presenters, panels, etc. 
Signage, displays, materials, etc. 
Marketing and security
Security
Refreshments
Vendors
Technology, IT, sound system, etc. 

o Develops and manages event structure and staffing, including creating timelines and assignments/tasks for staff to complete

Event Execution

o Attend all events and act as key/lead contact to ensure success 
o Work with the Operations team to ensure set-up is complete prior to and during events
o Maintains direct, regular contact with various personnel for successful execution of the event 
o Pick up, set up, and drop off materials for all InspireNOLA events
o Lead and coordinate the day-of logistics and support for all events
o Processing all payments for events and special projects

Event Follow-Up

o Prepare timely thank you notes to speakers, sponsors, and other key individuals involved with the event
o Conducts post-event evaluations and debriefs to determine how future events can be improved 
o Maintains all necessary records associated with each event, communicating with the Finance and Operations teams as needed
o Updates checklists, timelines, and project plans to streamline and simplify execution the next time a similar event is conducted

Salary for this position is competitive and depends on prior experience. A comprehensive benefits package, including medical, dental, and vision coverage, as well as TRSL, our employer retirement contribution, is included.
